Use the portfolio budgets page to set budgets for the portfolio. Performance of the portfolio vs. the budgets can be reviewed on the dashboard.
Note: This article refers to projects. Depending on your configuration, you may see alternate terminology used in your environment.
Each scenario contains its own portfolio budgets. This allows you to model changes to portfolio budgets when scenario planning.
For example, IT portfolio in scenario 2020 projects could have a budget of $1,000,000 while in scenario 2020 projects version two it could have a budget of $2,000,000.
A budget cannot be set for the all projects portfolio.
- Select finance from the top menu.
- Select portfolio budgets.
- Use the selectors at the top of the page to control which year, scenario and portfolio you want to work with.
- Choose if the budget is being entered annually, quarterly or monthly.
- Select add portfolio budget.
- Enter a description for the budget line.
- Select either capex or opex (field will only show if configured to be displayed).
- Choose a category for the budget line.
- Enter the budget in the budget fields.
- Select done editing.
Annual, quarterly and monthly periods
For annual budgets, only one budget field will be shown at your financial year start date. Quarterly budgets will show four budget fields starting on your financial year start. Monthly budgets will show a budget field per month.
If you change the budget period and edit a budget line, the budget data will be re-allocated based on the new period selected and previously entered budget data will be discarded.
For example, if you have an annual budget of $12,000 entered in January, selecting a monthly budget will cause the budget to be re-allocated $3000 into January, April, July and October. If the budget cannot be re-allocated equally per period, any overage will be added into the first period.
