Use the utilization heatmap to understand which resources have too much work (over-allocated) or too little work (under-allocated). The heatmap also shows how much work has been allocated to each resource and their underlying supply.


Note: This article refers to projects. Depending on your configuration, you may see alternate terminology used in your environment. 


Current month allocation data will include all allocation data for the month (complete and remaining). 


Current month capacity data will include all capacity for the month. 


Any allocations that are not assigned to a role, resource or project are not included.


Allocations for excluded projects or work below the cut off line is not included in the allocations or utilization calculation.





The utilization report can be accessed by selecting the utilization link in the Kelloo menu followed by heatmap.





Utilization data in the heatmap is summarized by month. For utilization data summarized by week, use the resource status panel in the planner.








Selecting the data you want to view


Select to view utilization, under / over, availability, allocations and capacityallocations or capacity.





Utilization %

Use the utilization view to identify resources that are underutilized or over-utilized.   



Under / over

Use the under / over view to identify resources that have the capability to have more work allocated or resources who are over-allocated. 



Availability

Use the availability view to understand a resource's availability. 



Allocations and capacity

Compare a resource's level of allocations vs their capacity (capacity is availability before any allocations have been made).



Allocations

Allocations view shows the level of allocations for each resource.


Capacity

Use capacity view to review the capacity of resources taking into account any time off or overtime excluding any allocations.




Days or FTE


Choose to view the data in either days or FTE.




Sort resources


You can sort resources by resource name, team name or availability. When you sort by availability, set a sort period with a from date and number of weeks. Resource availability will be calculated through the period and used when sorting resources.




Filter the heatmap


Here are some of the ways you can filter the data in the heatmap so you can focus on what is important to you.



Availability and utilization filter


Use the total availability filter to include resources who have availability across a range that meets a minimum level.



Use the monthly availability filter to include resources who have availability each month across a range that meets a minimum level.




Use the utilization filter to include resources who have utilization within a range you choose.





Scenario

Use the scenario selector to select which scenario you want to view in the heatmap. Scenarios are created in the resource plan. 





Portfolio, project, role and team filters

Use the filter to include certain roles, projects, teams or portfolios in the heatmap.




Search

Use the search box to search for resources and roles.




Allocated resources only


Select allocated resources only to restrict the grid to only showing resources with allocations in the plan.




Project allocations


Expand to view a summary of the allocations for the resource.






Utilization and availability panel 


Click on a cell in the heatmap to open a pop up window which gives detailed information about the utilization and capacity of the period.
